Asset Vue Selected by Federal Agency to Improve Data Center Audits

Government Group Looks to Passive RFID IT Asset Management Solutions Company to Provide IT Infrastructure Tracking for Greater Accuracy, Control, Security

Asset Vue, a provider of RFID-based asset management and data center management solutions, has been selected by a large federal agency to provide its passive RFID IT asset management solution for use in the agency’s multiple data center locations as a cost-effective, accurate and secure method for conducting critical data center audits of its IT assets. The forward-thinking move will aid the agency as it consolidates its data center locations to save money and increase control over its facilities.

The agency selected Asset Vue’s passive RFID solution for its ability to secure and track IT hardware assets, providing real-time asset tracking as tagged assets enter or leave the agency’s data center facilities while also updating its asset inventory database.  The Asset Vue solution also automates the manual task of conducting computer room asset inventory audits.

This federal agency is also taking proactive action to ward off a large trend recently reported by Natural Resource Defense Council (NRDC) in its study, “America’s Data Centers Consuming Massive and Growing Amounts of Electricity” identifying how massive amounts of energy are used in data centers in the United States and specifically discussing the need for tighter controls on dormant servers. The study points out that nearly 40 percent of all data center energy usage is wasted when data center teams lose track of physical server locations and running applications.

According to a recent prominent study, cutting datacenter energy waste by 40 percent could save businesses over $3 billion annually. But where exactly to cut and what changes to make is still a question for many IT professionals, data center managers and line of business executives struggling with reducing the energy footprint for their data centers. They have identified the top three tips for reducing data center energy costs while increasing the accuracy of data center audits. Smart Bets – Tips for Improving Data Center IT Asset Management

Consoli outlines three tips for reducing data center energy costs while increasing the accuracy of data center audits. By following these guidelines, IT professionals, data center managers and line of business executives can make smarter bets on where their IT assets are located, which are in operation and what kinds of cooling requirements they have.

  1. Hit on energy savings. The Natural Resources Defense Council (NRDC) completed a recent study that highlighted the problem of “zombie servers,” where up to 30 percent of servers may no longer be needed, have become forgotten or misplaced while remaining plugged in and consuming energy. One way to eliminate or minimize zombie servers is via a clean data center audit based on high-accuracy IT asset management solutions, rather than manual record keeping.
  2. Stand on data center temperatures. Rather than overcooling data centers by eliminating “hot spots,” today’s data center professionals recognize that newer technologies are capable of operating at higher temperatures. Now data center teams focus on eliminating “cold spots” by matching different types of equipment with their optimal temperature range. By tagging and tracking the placement of each data center asset by the operating temperature it requires, power and cooling can be applied more effectively.
  3. Know how to fold ‘em. Recent data breaches have demonstrated that nothing is ever erased. Instead, many data assets at end of life are shredded and destroyed. Tracking end of life information and locations for hard drives and other storage devices through passive RFID can provide an accurate audit trail for what happens to storage devices that leave the data center for disposal.

Four Cost Points to Consider in a Data Center Audit

To best determine the ROI of an ITAM solution, it’s important to note the already high costs of a manual or legacy solution. There are four key areas to consider that can affect the outcome and cost of a data center audit:

  1. Initial Data Collection – The cost for manual data center audits can be high, even for “readily available” data, which includes equipment manufacturer, model, serial number, name, and location.
  2. Data Accuracy – A hidden cost here is the unreliable rate of manual data collection, often between 85-90 percent. This affects the audit and can often result in re-audits.
  3. Tracking Changes – A large percentage of data center outages, unauthorized changes and Mean Time To Repair (MTTR) data center assets comes from the inability to properly record and track changes manually in the data center – leading to higher audit costs.
  4. Repeat Data Audits – There is a similar cost and effort involved with repeated manual data audits (such as semi-annual or on-demand audits) as with initial data collection efforts.

That’s because data center assets like servers, storage and switches can suddenly become the high-tech equivalent of gold doubloons when they are “hidden” due to improper asset management or undocumented moves, adds and changes. Six Ways to Avoid Hunting for Treasure in Your Data Center

“With proper processes and some simple technology, like RFID tagging, data center managers can account for and locate every asset inside their data centers,” says Consoli. Here are a few tips:

1.     Get a better treasure map. Instead of sifting through spreadsheets or blindly searching for data center assets, like servers, storage and switches, Consoli recommends developing an accurate “map” using RFID tagging and automated data center information management (DCIM) software to tag and track data center assets.
2.     Get better info. IT pros are encouraged to make sure they have a good DCIM solution in place to correctly capture all necessary asset data and create a central repository.
3.     Get a better process. It’s important to establish accurate and efficient data center asset management procedures that can be followed by the entire operations staff.
4.     Get a happy crew. Data center audits can drag down productivity and affect morale when assets are incorrectly tagged. “You want to avoid a mutiny? Get this part fixed,” says Consoli.
5.     Get better tools. Using a clipboard, pencil and a flashlight is often the default for data center audits. Better tools include RFID tags and scanners to tag and track automate the process.
6.     Get your data center ship on course. One small change can make a world of difference for asset management. Consoli recommends developing a specific plan of action that will involve every new asset that comes into the data center. “Trying to tackle all the existing assets can be overwhelming,” he says. “Try starting with new assets and including existing assets over time. Don’t try to boil the ocean”.
